PRIMARY FUNCTION: The Community School Administrative Assistant supports the daily administrative and operational needs of the community school by helping to maintain a welcoming, organized, and secure environment for students, families, staff, and community partners. This role supports the Community School Director through a wide range of administrative functions, including but not limited to managing data and documentation, coordinating communications, scheduling meetings and events, and responding to day-to-day operational needs. The Administrative Assistant also supports school and community-based event planning, outreach and engagement efforts, and provides administrative support to school-based teams such as the recess team, attendance team, and family outreach team to ensure effective implementation of community school initiatives. This includes intake, tracking, and review of forms and applications, communication with families and partners when necessary, and ongoing administrative support that strengthens overall school operations. 

ORGANIZATIONAL ROLE: 

Supervisor: Community School Director 

Hours: Part Time, 25 hours per week (9:00 am to 2:00 pm) 

Compensation: $22-$25 per hour 

ESSENTIAL FUNCTIONS

  • Greet students, families, staff, and community partners warmly and professionally, and direct them to appropriate locations or staff members. 

  • Maintain accurate school and program records, including attendance logs, sign-in sheets, registration forms, applications, and other administrative documentation. 

  • Support the Community School Director and school-based teams, including the recess team, attendance team, family engagement team, social work team, and event planning team with scheduling, communications, and day-to-day operational tasks. 

  • Assist in planning, coordinating, and executing school and community events, including creating flyers, tracking RSVPs and sign-in sheets, and supporting event logistics. 

  • Communicate with families and community partners regarding school programs, events, and other needs as directed. 

  • Document and report incidents, concerns, or operational issues to appropriate staff promptly and accurately. 

  • Support the smooth functioning of community school programs by staying informed of daily activities, events, and initiatives, ensuring alignment with DOE standards and community school goals. 

  • Perform other duties as assigned by Community School Director, consistent with the mission of the Community School. 

QUALIFICATIONS: 

  • High School Diploma or equivalent is required; Associate’s or Bachelor’s degree is preferred. 

  • Proficiency in data management, Microsoft Office or Google Workspace, and other administrative software is required. 

  • Prior experience in administrative support, office management, program coordination, or working in schools is preferred; equivalent professional experience may be considered. 

  • Familiarity with DOE policies, youth programming, and community school models is a plus. 

  • Experience working with families, students, and diverse communities is preferred. 

  • Must be punctual, reliable, and able to maintain a part-time schedule during school hours, with occasional evening events as required. 

COMPETENCIES  

  • Strong organizational, planning, and time management skills, with attention to detail and the ability to meet deadlines. 

  • Excellent written and verbal communication skills with students, families, staff, and community partners. 

  • Strong interpersonal skills, including relationship-building with diverse communities. 

  • Ability to work both independently and collaboratively, taking initiative to support school operations. 

  • Bilingual skills preferred.
